It is a good idea to periodically review and update roles as the needs and priorities of your organization change. A periodic review can ensure that organizational roles and responsibilities fit your business objectives.
This article covers the following:
1. Preparations
Before making new roles or adjusting, you need to consider the overall impact on the organization and ensure that the changes will not negatively affect the daily operation.
The consideration may include you making sure that the duties and responsibilities of each role are clearly defined and understood by the individuals who will be filling those roles.
Carefully consider the permissions that each role should have within the system. Ensure that they are sufficient to allow the users with those roles to perform their duties effectively but not so broad as to allow for unnecessary risk or abuse of the system.
2. Creating the role
The steps to create a new role in your organization are very simple.
- From the main menu, navigate to the "Organization" section and select the "Roles" submenu.
- In the top right corner of the screen, you will see a button labeled "+ New role". Click this button to open a sidebar on the right side of the screen.
- You can start by giving the new role a clear and concise name.
- Next, assign the appropriate permissions to the role by clicking the buttons next to each permission. By default, new roles have all permissions turned off.
- Once you have selected the necessary permissions, click "Create role" at the bottom of the sidebar.
The new role will now appear on the list of available roles, and you can assign it to users as needed.
3. Communicate any adjustment
Whether you made a new role or adjusted any current, it is essential to communicate changes to roles and responsibilities to all relevant users. This includes individuals filling the roles and any other users affected by the changes. Proper communication helps ensure that everyone knows their new duties and responsibilities and allows the organization operates smoothly and effectively.
